Welcome to The Meeting Connection (“TMC,” “we,” “us,” or “our”). These Terms of Service (“Terms”) govern your use of our website, our virtual event pages, and the registration, housing, and event services we provide for the meetings and conferences we manage. By using our website or registering for, attending, exhibiting at, or sponsoring an event we manage, you agree to these Terms.

TMC is a full‑service meeting and consulting company that provides site selection, event marketing, event design, event coordination, travel planning, and on‑site logistics for associations, corporations, and religious organizations (our “clients”). In most cases, TMC manages an event on behalf of the client organization that hosts it. Each event may publish its own policies (such as registration, cancellation, refund, substitution, code‑of‑conduct, or exhibitor rules). Those event‑specific policies apply in addition to these Terms, and if they conflict, the event‑specific policy controls.
Our planning and consulting engagements with clients are governed by a separate written agreement. If that agreement conflicts with these Terms, the written agreement controls.
You may use our website for lawful purposes only. You agree not to:
Information on our website is provided for general purposes and may change without notice. Event details, schedules, speakers, and pricing are subject to change; the event’s registration site and official communications are the most current source.
When you register for an event, you agree to provide accurate and complete information and to keep it up to date. If you register others (for example, as a group leader, employer, teacher, or chapter advisor), you confirm that you are authorized to do so and that you will share the applicable event policies with them. Registration is not complete until it is confirmed and any required payment is received. Registrations are generally personal to the registrant; substitutions are permitted only as allowed by the event’s policies.
TMC and the host organization may decline or cancel any registration at their discretion, including for incomplete or inaccurate information, non‑payment, eligibility requirements set by the host organization, or conduct concerns. If we cancel a registration for reasons other than a violation of these Terms or an event policy, any refund will follow the event’s refund policy.
We negotiate hotel room blocks and may provide online booking tools for event attendees. Hotel reservations, airline tickets, and ground transportation are provided by independent third parties and are subject to their own terms, including deposit, cancellation, attrition, and no‑show policies. TMC is not responsible for the acts, omissions, or policies of hotels, airlines, transportation providers, or other suppliers. Room‑block rates and availability are limited and are offered until the published cut‑off date or until the block sells out.
By attending an event we manage, you agree to:
TMC and the host organization may refuse admission to, or remove from an event, anyone whose conduct is disruptive, unsafe, or in violation of these Terms or the event’s policies, without refund. Event programs, speakers, sessions, and schedules are subject to change.
Photography and recording: events may be photographed, recorded, or livestreamed. By attending, you consent to the use of your image, voice, and likeness in photographs and recordings by TMC and the host organization to document and promote the event, as described in our Privacy Policy. Unless an event states otherwise, you may not record sessions or presentations without the permission of the host organization and the speaker.
Access to virtual and hybrid events is provided for the registered attendee only. You may not share your log‑in link or credentials, or redistribute, re‑broadcast, or download session content unless the event expressly permits it. Virtual platforms are provided by third parties, and we do not guarantee uninterrupted or error‑free access. You are responsible for your own internet connection and device compatibility.
Exhibitors, sponsors, and speakers are also subject to the agreements, prospectuses, and rules issued for each event, including deadlines, booth and installation rules, and insurance requirements. You are responsible for ensuring that any materials, logos, presentations, or content you provide are accurate and that you have the rights to provide them, and you grant TMC and the host organization permission to use them to promote and produce the event.
The content of our website, including text, graphics, logos, designs, photographs, and event branding we create, is owned by TMC or our clients and is protected by copyright and trademark laws. You may view and print pages for your personal, non‑commercial use. Any other use requires our prior written permission.
Our website and events rely on third‑party services such as online registration platforms, payment processors, virtual event platforms, mobile event apps, mapping services, and social media sites. Your use of those services is subject to their own terms and privacy policies. Links to third‑party websites are provided for convenience only, and we are not responsible for their content or practices.
Our website and services are provided “as is” and “as available.” To the fullest extent permitted by law, TMC disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non‑infringement. We do not warrant that the website will be uninterrupted, error‑free, or free of viruses or other harmful components. Content presented by speakers, exhibitors, and sponsors represents their own views and not necessarily those of TMC or the host organization.
To the fullest extent permitted by law, TMC and its owners, employees, and agents will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or travel expenses, arising out of or related to your use of our website or your participation in an event. TMC’s total liability for any claim relating to an event registration will not exceed the amount you paid TMC for that registration. Some jurisdictions do not allow certain limitations, so some of these limits may not apply to you.
You agree to indemnify and hold harmless TMC and its owners, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys’ fees) arising from your violation of these Terms or an event policy, your conduct at an event, or content you provide to us.
TMC is not responsible for any failure or delay in performance caused by circumstances beyond our reasonable control, including severe weather, natural disasters, public health emergencies, government orders, labor disputes, travel disruptions, venue closures, utility or internet outages, or acts of terrorism. If an event is postponed, relocated, converted to a virtual format, or cancelled for such reasons, any refunds or credits will be handled according to the event’s published policy and the host organization’s decision.
These Terms are governed by the laws of the State of Ohio, without regard to its conflict‑of‑law rules. Any dispute arising from these Terms or our website will be resolved exclusively in the state or federal courts serving Delaware County, Ohio, and you consent to the jurisdiction of those courts.
We may update these Terms from time to time by posting the revised version on this page and updating the effective date above. Your continued use of our website or services after an update means you accept the revised Terms. If any provision of these Terms is found unenforceable, the remaining provisions will remain in effect. Our failure to enforce any provision is not a waiver of our right to do so later. These Terms, together with our Privacy Policy and any event‑specific policies, are the entire agreement between you and TMC regarding their subject.
